How our Recruitment Service Works
Our recruitment service is split into three stages to keep everything clear and manageable. Each stage includes a set of actions and is invoiced on its own, so you only pay for the support you decide to use. You can choose all three stages for full recruitment support or simply pick the parts that suit your organisation.
Your total recruitment fee is based on the role’s salary and your organisation’s income. Once this has been confirmed, the fee is divided across the three stages below. We invoice as we go, giving you complete transparency about what is included at each step.
Stage One - Set Up and Advertise (40%)
Stage One creates the strongest possible foundation for your recruitment. We make sure your role is presented clearly, inclusively and in a way that attracts the right people. This stage also includes your advertising budget, so you do not need to arrange this separately.
Writing an inclusive advert - We write your advert carefully so it speaks to a broad and diverse range of applicants. We are trained in inclusive advert writing and will review your key criteria. The aim is to remove unnecessary barriers and encourage people from all backgrounds to apply.
Advertising - We share your role across relevant job boards to help you reach as wide an audience as possible. We monitor responses, manage queries and keep and track performance so your advert is working effectively throughout the campaign.
Project set up - We prepare everything needed to begin your recruitment. This includes agreeing timelines, confirming communication plans and setting expectations for the rest of the project. By the end of this stage you will have a clear structure in place and a well positioned advert that is ready to attract candidates.
Stage Two - Source and Shortlist (40%)
Stage Two is where most of the recruitment work takes place. We combine proactive search with thoughtful screening to give you a shortlist of candidates who genuinely meet your brief. You will receive your shortlist on the agreed date along with any supporting information you have requested.
Search - A strong advert is important, but many great candidates are not actively looking. We carry out targeted search activity using our sector knowledge and networks, taking a personal and relationship-focused approach to finding the right people for your organisation. This means you are not relying solely on applicants and can reach people who may be a strong match but are not actively applying for roles.
Screening - Every shortlisted candidate is spoken to individually so we can understand their experience, motivations and suitability for the role. In a world where AI is becoming more common, adding real human conversation brings depth, clarity and insight that written applications alone cannot provide. This helps you make confident decisions when reviewing your shortlist.
Submission - We share all suitable candidates with you on the agreed date, including any supporting information you would like. With AI now influencing many cover letters, we encourage you to focus on the insight gained through screening conversations and interviews rather than supporting documents alone.
Stage Three - Interview and Complete (20%)
Stage Three supports you through the final steps of the process and helps ensure everything runs smoothly from interviews to offer.
Interview booking - Once you confirm who you would like to meet, we take care of all arrangements. We contact candidates, schedule interviews at times that work for you and provide clear confirmation to everyone involved. This keeps everything organised and allows you to focus on the conversations rather than the administration.
Decline application - Not everyone will be successful, and we handle this part of the process on your behalf so candidates always receive a clear and considerate response. If a candidate has interviewed with you, we will ask for personalised feedback. This helps candidates leave the process feeling respected and supported.
Negotiations - When you are ready to offer the role, we can support conversations on both sides. Having a neutral point of contact helps the process run smoothly, particularly if there is negotiation to consider. Our aim is to make this stage feel calm and straightforward for everyone involved.
Place - Once the offer has been accepted, we will facilitate a formal introduction so you can move forward with your paperwork and onboarding. We remain available if you need any support during this final step or have any questions along the way.
What will it cost?
After we have confirmed the salary and income band, we will give you a clear breakdown of how much each stage will cost. Your total recruitment fee is based on a percentage of the role’s full-time salary. This keeps pricing fair and transparent. The total fee is then divided across the three stages (as outlined above) so you only pay for each stage as it takes place.
To help keep our service accessible for small to medium UK charities, we adjust our fee based on your organisation’s annual income.
Up to £1 million income - 15% of role’s full-time annual salary
£1-10 million income - 17.5% of role’s full-time annual salary
£10 million+ income - 20% of role’s full-time annual salary
